Self-Scheduler

Version 5.1 by Treyfane Dingo on 2023/08/14 23:03

The L.A.S.S.I.E. Self Scheduler Module enables the Operative to participate in shift planning by selecting their desired shifts (as well as their desired off duty times) in a calendar view. Using the module greatly streamlines the shift planning procedure for the executive personnel. The L.A.S.S.I.E. Self Scheduler Module can be reached[1] via web-browser at https://lassie.furcom.org/. When logged into L.A.S.S.I.E., click on the L.A.S.S.I.E. menu (the logo) and select "Self-Scheduler" from the "Personnel" submenu.

Please always remember, that the event schedule as well as the times of events are not 100% final until the day the schedule is officially announced and therefore to be treated strictly confidential up to that date!

Entry Layout

Each schedule item has certain information directly visible. Those are:

Options

Self-Scheduler Options

  1. Select the Convention year for which you want to change your duty schedule. Usually only the newest event is available.
  2. Check the "show events" box to show all of the upcoming Convention's events like "Dingo's L.A.S.S.I.E. Story Hour". Convention events (e.g. panels) are always in one of the fifty shades of grey. This is particular useful to fill in your preferences of your own "must-not-miss" events. Just add yourself to the grey event to prevent a duty shift to be assigned by the shift manager in the same timeframe.
  3. Check the "show unassigned shifts only" box to only show duty shifts which have not enough Operatives assgned yet.
  4. Select if you do want to see all shifts or only the shifts you have filled in for so far.
    • Selecting "show all shifts" will show all shifts for the upcoming event which are available to fill in for. Abbreviations will be explained later in this text. This option is default when opening the L.A.S.S.I.E. Self Scheduler Module.
    • Selecting "show my shifts only" improves the view of your personal duty schedule in a great way. If you did not fill in for any shifts, "show my shifts only" will most probably show you an empty calendar.
  5. Use this buttons to navigate through the calendar. If you really need help with those buttons you should decide on taking a "computer for beginners" course at your local training course provider. All images in this handbook have been taken from the "day" view option. So if you think it's crowded in the week view, try this one emoticon_wink

Must-not-Miss Events

Before planning your very own schedule, you should decide on which events on the upcoming Convention or event you do want to take part in (off duty). You do not have to do this, but it's strongly suggested. You may fill in yourself for any of the grey events and you will (under normal circumstances, i.e. if the Convention is not completely out of staff) not be scheduled otherwise at those times.

Please select the "show events" and "show my shifts only" options, preferably in the "day" view. You will now get the day's Convention events and now are able to select any MnM event for yourself. To fill in for a MnM event you just have to click it.

In the popup window, you can register yourself for that event by clicking the "Register" button (the green one). It will then change to a red "De-register" button, which, if clicked, will de-register you from that event (surprise!).

Please do not forget to click the "Save" button to actually save your selection!

Registering for duties

Registering for duties pretty much works the same way as registering for events. There is, however a certain difference as duties have a number of Security Crew Members needed for them. If the number of registered Security Crew Members for a certain duty is too low or too high, a coloured bar will be shown in the entry.

By clicking an entry a Security Crew Member can register themselves to that duty, just like registering for an MnM event. However, if the number of Security Crew Member still is not correct, the coloured bar will remain. Only if the number of registered Security Crew Members matches the number of needed Security Crew Members, the duty will become 'all green'.

If allowed by the shift manager in the System Settings, you can possibly register for a duty which is already 'booked out' thus 'overbooking' it. No guaranties you will have to work then, but having some Operatives spare is possibly not a bad idea. The final assignments, however, will be made by the shift manager.

OFF DUTY Shifts

During a Convention, every Operative, no matter which rank or role should schedule themselves at least one night off. Usually the shift manager would insert a white event "OFF DUTY" each day from around 19:00 to the next morning. Each Security Crew Member should either select one of those for themselves or get one assigned by the shift manager. Working beyond your limits doesn't help anyone.

The decision for an "OFF DUTY" shift to be mandatory is made by the Convention's executive, but a guarantee to get the desired night off naturally can't be made. The final assignments, like always, will be made by the shift manager depending on security needs.

Own duty schedule

If you registered yourself for an event or duty, the entry will change to a light grey with green border and a big green checkmark in the middle of the event. This applies to every view of the self-scheduler except the "Show my shifts only" view. This is because the printability of this particular view.

If the Operative has selected all their desired duties and events, they can get an overview of their schedule by deselecting "show events" and selecting "show my shifts only". This view can be printed using the browser's 'Print' abilities. Furthermore, the schedule can be imported to any ICS capable calendar (i.e. iOS or Android smartphones) using the link:

https://lassie.furcom.org/cal/own_collar_number.ics

A documentation of the importing process is available at the Mobile Schedule article.

Please be aware that shifts can change up to the last minute before the upcoming Convention due to timetable changes or other shortages.
